Percale Technologies ("Percale," "we," "our," or "us") operates a hospitality operations platform that supports hotel front desk teams. This Privacy Policy explains how we collect, use, and protect information from hotel staff members and hotel operators who interact with our platform.

By using Percale's platform or enrolling as a staff member, you agree to the practices described in this policy. If you do not agree, please do not use our services.

Percale Technologies is a trade name operated by a sole proprietor registered in New York. References to "Percale," "we," "our," or "us" throughout this policy refer to that sole proprietorship operating under the Percale Technologies DBA.

What we collect

We collect the following categories of information depending on how you interact with Percale:

From hotel staff during enrollment:

  • First and last name
  • Email address
  • Mobile phone number (only if SMS notifications are opted into voluntarily)
  • Hotel property name and role
  • SMS consent status, consent timestamp, and consent language presented at time of opt-in

From hotel operators:

  • Hotel name, location, and contact information
  • Operational configuration details (messaging platform, Slack channel identifiers)
  • Inbound guest message content routed through the Percale platform

Automatically collected:

  • Web form submission metadata (timestamp, browser type)
  • Message delivery and opt-out logs for SMS communications

How we use information

We use the information we collect solely to provide and improve the Percale platform. Specifically:

  • To deliver operational SMS and email notifications to enrolled hotel staff
  • To route guest messages to the appropriate hotel department or staff member
  • To generate suggested replies for hotel staff review
  • To maintain records of SMS consent for regulatory compliance
  • To improve the accuracy of message classification and routing
  • To communicate with hotel operators about their pilot or account

Percale does not use personal information for advertising, marketing to third parties, or any purpose unrelated to delivering the platform's operational functions.

How we share information

We do not sell, rent, or trade personal information. We may share information only in the following limited circumstances:

  • Service providers: We use third-party services to deliver platform functionality, including cloud hosting (AWS), messaging infrastructure (Twilio), and communication tools (Slack). These providers access information only as necessary to perform their services and are bound by appropriate data protection agreements.
  • Hotel operators: Staff enrollment data is accessible to the hotel operator on whose behalf the staff member enrolled. Guest message content is shared with the relevant hotel's designated staff and Slack channels as part of the routing function.
  • Legal compliance: We may disclose information if required to do so by law, regulation, or valid legal process.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice before any such transfer.

SMS data practices

If you have opted in to receive SMS notifications from Percale, the following applies:

  • Your mobile phone number is used solely to deliver operational SMS notifications on behalf of your hotel property
  • Your phone number is never sold, rented, or shared with third parties for marketing purposes
  • SMS consent records — including your phone number, consent timestamp, and the consent language presented to you — are retained for compliance purposes
  • You may opt out at any time by replying STOP to any message. Opt-out requests are processed immediately and permanently
  • SMS opt-in is entirely voluntary and is not a condition of using any Percale service

No mobile information collected through SMS opt-in will be shared with third parties or affiliates for marketing or promotional purposes. SMS consent data is not used for any purpose other than delivering the notifications you have agreed to receive.

How long we keep data

We retain personal information for as long as necessary to provide the platform and meet our legal obligations:

  • Staff enrollment data is retained for the duration of the hotel's engagement with Percale and deleted within 90 days of account closure upon request
  • SMS consent records are retained for a minimum of four years for regulatory compliance purposes
  • Guest message content processed through the platform is retained for up to 12 months and used solely for thread continuity and prompt context
  • Opt-out records are retained indefinitely to ensure no further messages are sent to opted-out numbers

How we protect data

We implement industry-standard technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. These include encrypted data transmission, access controls limited to authorized personnel, and logging of access to sensitive records.

No method of electronic storage or transmission is completely secure. While we take reasonable precautions, we cannot guarantee absolute security. In the event of a data breach affecting your information, we will notify affected parties in accordance with applicable law.

Your rights & choices

Depending on your location, you may have the following rights with respect to your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information, subject to our legal retention obligations
  • Opt-out of SMS: Reply STOP to any SMS message at any time to immediately unsubscribe
  • Consent record: Request a copy of your SMS consent record including the timestamp and language presented at opt-in

Updates to this policy

We may update this Privacy Policy from time to time as our platform and legal obligations evolve. Material changes will be reflected in the effective date at the top of this page.
