About this policy

Scope: This policy covers SMS notifications sent exclusively to hotel staff members. Percale does not currently send SMS messages to hotel guests.

Percale is a hospitality operations platform that supports hotel front desk teams by routing guest communications and delivering real-time operational SMS notifications to hotel staff.

This policy describes how Percale collects, documents, and manages SMS consent from hotel staff members. All recipients are hotel employees who have explicitly and independently opted in via a dedicated web form before any message is sent. Consent is standalone — it is not bundled with any other agreement, terms of service, or employment condition. Percale does not send promotional, marketing, or unsolicited messages of any kind.

Consent for hotel staff

Hotel staff members receive real-time operational SMS notifications when guest messages arrive at their property. Notifications prompt staff to review an incoming message and a suggested reply surfaced in their team's Slack channel.

Who receives messages

Only hotel employees who have completed the Percale staff opt-in form at percale.io/staff-onboarding prior to the first message being sent. No staff member receives a message without first completing this form.

Standalone consent requirement

Consent to receive SMS from Percale is collected independently and is not part of any employment agreement, onboarding document, hotel policy, or other terms of service. Each staff member opts in of their own accord via a dedicated consent form containing explicit checkbox confirmation.

Sample staff notification

SMS · Hotel staff [Percale] New guest message from Maria Chen: "Is the shuttle running tomorrow morning?" Review suggested reply in Slack. Reply STOP to opt out.

Staff members may opt out at any time by replying STOP to any message. Opt-out requests are processed immediately and permanently. No further messages are sent following a STOP reply.

Opt-in process

How consent is collected

Consent is collected exclusively via a dedicated standalone web form. No messages are sent to any staff member before form submission is confirmed.

Opt-in form

Staff complete the form at percale.io/staff-onboarding. The form collects the staff member's name, hotel property, role, and mobile phone number. Submission requires explicit checkbox confirmation of the following consent language:

"I agree to receive operational SMS notifications from Percale on behalf of my hotel property. I understand that message and data rates may apply, that message frequency varies, and that I can reply STOP at any time to unsubscribe or HELP for assistance. This consent is not a condition of employment or any other service."

Consent record

Each submission is logged with a timestamp, the staff member's phone number, their name and property, and the full verbatim consent language as presented at the time of submission. This record is retained by Percale and is available for audit on request.

Message types & frequency

What Percale sends

Percale sends one category of message only: operational staff notifications. These are triggered by inbound guest messages and are sent only to hotel staff who have opted in.

Staff notifications

Real-time alerts sent when a guest message arrives at a staff member's property. Frequency varies based on guest message volume at the property. Recipients are opted-in hotel employees only.

Percale does not send marketing messages, promotional offers, surveys, mass broadcasts, or any unsolicited communications of any kind. Guest-facing SMS is not part of Percale's current messaging program.

Carriers are not liable for delayed or undelivered messages. STOP requests are honored immediately — no further messages will be sent to that number following a STOP reply.
